Privacy notice
This notice explains what personal information the HR system keeps about you, why, and your rights. HR can adapt it to your company and country.
What we keep. Your contact and employment details, contracts and pay, time off and attendance, documents you or HR upload (such as identity documents, visas and sick notes), performance reviews, training, and a record of changes made to your file.
Why. To employ and pay you, meet legal duties (labour, tax and social security), plan work and keep the workplace safe.
Who can see it. You, and only the HR, payroll and managers whose role needs it. Salary, bank, medical, identity and complaint information is limited to people with that specific permission. Every change and every opening of a confidential document is recorded.
How it is protected. Encrypted connections, encrypted files and sensitive fields, two-step sign-in for administrators, automatic sign-out, daily backups that are tested.
How long. While you work here, then for the period the law requires (set by HR in the settings), after which it is reviewed and removed.
Your rights. You can see your information, ask for a copy of it, and ask for anything wrong to be corrected: use HR desk → New request → "A copy of my personal data" or "Correct my personal data". Changes to your legal name or bank details are checked by HR before they apply.
